Position Overview
As an Administrative Assistant, you will be a key pillar of the administrative department. You will support various teams (HR, finance, management), ensure proper handling of administrative processes, and contribute to the smooth coordination of internal operations.
You will operate transversally in a demanding but supportive work environment, where rigor, reliability, and adaptability are essential qualities.
Main Responsibilities
As part of the administrative team, your duties will include the following key areas:
Administrative Management

Manage everyday administrative processes: correspondence, archiving, file preparation, and internal document drafting.

Handle both physical and digital filing of documents, particularly those relevant to the accounting team.

Prepare documentation for financial audits, monthly closings, and annual balance sheets, in collaboration with our external accounting firm.
Control & Compliance

Ensure the application of internal procedures and regulatory compliance for all administrative operations.

Work closely with the accountant to track fiscal and legal obligations (VAT, supporting documents, declarations).

Contribute to improving our internal monitoring tools and reporting processes.
Employee Support

Respond to employee requests: official letters, absences, leave requests, and administrative documentation.

Assist the HR team in managing employee records, onboarding procedures, and medical visit tracking.

Play a proactive role in maintaining a positive work environment by addressing internal needs efficiently.
Administrative Team Coordination

Help assign tasks across the administrative team and track the progress of ongoing actions.

Ensure deadlines and priorities are met, escalating any issues to the appropriate stakeholders.

Suggest improvements to administrative workflows and propose organizational solutions when needed.
Sales Administration

Manage the entry of quotes, purchase orders, and client invoices.

Track incoming payments, initiate client reminders, and ensure accurate data updates in the ERP system (Odoo).

Act as a liaison between the sales and accounting departments to ensure alignment and smooth operations.
Executive Support

Support the leadership team by preparing strategic documents, dashboards, and internal reports.

Participate in the execution of cross-functional projects, such as process digitalization or internal event planning.

Assist in internal communication efforts and help maintain focus on strategic priorities.
Required Skills and Qualifications
To succeed in this role, you must demonstrate a combination of technical skills and strong interpersonal qualities.
Technical Skills:

Proficiency with office tools such as Microsoft Word, Excel, PowerPoint, and professional email platforms.

Experience using or familiarity with ERP or CRM systems, ideally Odoo.

Basic knowledge of accounting: general ledger, invoicing, VAT, and balance sheet concepts.

Strong writing skills and the ability to summarize and organize information clearly and effectively.
Soft Skills:

Excellent organization skills and the ability to prioritize tasks effectively.

Capacity to work autonomously while maintaining strong collaboration with multiple teams.

Flexibility, attention to detail, and a discreet and professional attitude.

Strong communication skills, analytical thinking, and a customer service mindset.
Desired Background

Bachelor’s or Master’s degree (Bac+3 to Bac+5) in one of the following fields:

Accounting

Finance or Business Administration

Human Resources or Payroll
-
Corporate Management or Strategy

Previous experience (internship, work-study, or short-term contract) in an administrative or accounting role is highly desirable.

Fluency in French (written and spoken) is essential. English proficiency is a plus, though not mandatory.
